Instruction Notices

Instruction notices let you manage larger jobs that are broken into phases. Instead of creating one invoice upfront, you define the phases of work with agreed amounts, then generate invoices as each phase is completed.

When to use instruction notices

• Multi-phase projects — kitchen renovations, extensions, landscaping
• Progress billing — invoice as work progresses rather than all at once
• Agreed-price contracts — lock in the total agreed amount then break it into phases

Creating an instruction notice

By voice

1. Go to the Instructions tab and tap +
2. Tap the microphone icon
3. Describe the project — e.g. "Instruction notice for Sarah, 42 Maple Road, bathroom renovation, five thousand pounds"
4. Sorted parses the details (client name, address, description, agreed amount)
5. Review and save

Manually

1. Go to the Instructions tab and tap +
2. Skip the voice recording
3. Fill in the fields: client name, address, email, phone, work description, agreed amount

Adding phases

Phases break the project into stages, each with a description and amount:

By voice

1. On the instruction notice detail, tap Add Phase
2. Tap the microphone icon
3. Describe the phase — e.g. "Phase one, strip and prepare all surfaces, eight hundred pounds"
4. Sorted parses the description and amount

Manually

1. Tap Add Phase
2. Enter a description and amount directly

Using "Say it" on phase amounts

When editing a phase's amount field, the "Say it" mic button appears in the keyboard toolbar. Tap it to dictate the amount — e.g. "one thousand two hundred pounds" or "eight hundred plus VAT".

VAT phrases work here too:

• "Eight hundred including VAT" — calculates the net amount and enables VAT
• "Eight hundred plus VAT" — keeps £800 as net and enables VAT

Generating invoices from phases

This is where instruction notices become powerful — you can generate invoices directly from your phases:

Invoice a single phase

1. Open the instruction notice
2. Find the phase you want to invoice
3. Tap Invoice on that phase
4. Sorted creates an invoice with the phase description and amount

Invoice all phases

1. Open the instruction notice
2. Tap Invoice All Phases
3. Sorted creates a single invoice covering all phases

Create a general invoice

1. Open the instruction notice
2. Tap Create Invoice
3. Sorted creates an invoice from the instruction notice details

Invoice extras

If you've added extras to the instruction notice, you can invoice them separately.

What carries across

When an invoice is generated from an instruction notice:

• Client name, address, email, and phone are copied to the invoice
• The instruction notice shows which phases have been invoiced
• Generated invoices show a link back to the source instruction notice

Sending an instruction notice

From the detail view, tap Share to:

• Send via WhatsApp — with customisable template text
• Send via email — with the PDF attached
• Share sheet — any iOS sharing option

Filtering instruction notices

The Instructions tab shows filter chips at the top:

• All — every instruction notice
• Active — work in progress
• Completed — all phases invoiced
• Draft — not yet sent
