Manage all your generated PDFs, export invoices to CSV, and share documents via WhatsApp, email, or any sharing method.

Files & Export

The Files tab is your central hub for all generated PDFs — invoices, estimates, and instruction notices — along with exported CSV files.

Files tab

The Files tab shows all your generated documents in one list:

  • Invoice PDFs — generated when you share an invoice
  • Estimate PDFs — generated when you share an estimate
  • Instruction notice PDFs — generated when you share an instruction notice
  • CSV exports — QuickBooks, Xero, and FreeAgent export files

Files are loaded 50 at a time with a Load more button for older files.

Sharing from Files

Swipe left on any file to access sharing options:

  • WhatsApp — send the document via WhatsApp
  • Email — send via email with the PDF attached
  • Send to Xero / Send to FreeAgent — for invoice PDFs, push the linked invoice to the integration (when connected)

You can also tap a file to preview the PDF, then use the share button.

Email forwarding

You can email all your files (or individual files) to your business email address:

  • The email is pre-filled with your business email address, subject line, and all selected attachments
  • Uses the native iOS email composer — one tap to send

CSV export

From the Files tab, tap Export to generate CSV files for your accountant or accounting software.

Export details

  • Date range filter — choose a date range for the invoices to include
  • Maximum 100 invoices per export (QuickBooks import limit)
  • Files are saved to Documents and appear in the Files list
  • QuickBooks and FreeAgent exports save directly; Xero export opens the share sheet so you can save or send the file

PDF generation

Every time you share a document, Sorted generates a professional PDF that includes:

  • Your company logo (if set up in Business Details)
  • Your business name, address, email, and phone
  • All document details (client info, line items, totals, VAT breakdown)
  • Pre-text and post-text from your settings
  • Footer text (legal/registered info)
  • A Sorted watermark (removable with Pro subscription)

PDFs are stored locally on your device and can be accessed from the Files tab at any time.
