Create professional estimates with voice or manually, attach photos, and send to customers via WhatsApp or email.
Estimates
Estimates let you quote on a job before work begins. Sorted generates a professional PDF with your company branding, and you can send it to your customer in seconds.
Creating an estimate
By voice
- Go to the Estimates tab and tap +
- Tap the microphone icon
- Describe the job — for example: "Estimate for Sarah, 42 Maple Road, kitchen refurbishment, three thousand five hundred pounds"
- Sorted transcribes and parses your voice into the estimate fields (client name, address, description, price)
- Review and edit any field, then save
Manually
- Go to the Estimates tab and tap +
- Skip the voice recording (tap the X or back button)
- Fill in the fields manually: client name, address, email, phone, work description, and price
You can also use the "Say it" mic button on individual fields to dictate specific values — see Voice Input.
Estimate fields

| Work description | What the job involves |
| Price | The total quoted amount (net, before VAT) |
| Discount | A discount amount (£) applied to the total |
| VAT | Toggle on/off; when on, VAT is calculated at your configured tax rate |
Photo attachments
You can attach photos to an estimate (e.g. site photos, material references):
- Tap Add Photos on the estimate detail
- Select photos from your photo library
- Photos appear as thumbnails on the estimate
- They are included in the generated PDF
Tap a photo to view it full-size, or tap the × to remove it.
Sending an estimate
From the estimate detail view, tap Share to:
- Send via WhatsApp — opens WhatsApp with a pre-filled message containing the PDF link and your customisable template text
- Send via email — opens your email with the PDF attached
- Share sheet — use any iOS sharing option (AirDrop, Messages, etc.)
Estimate settings
Go to Settings → Estimates to customise:

| Estimate Pre Text | Opening text above the pricing table (e.g. "Thank you for the opportunity to quote…") |
| Estimate Post Text | Closing text below the table. Use %VALIDITY_DAYS% to auto-insert the validity period |
| Estimate Footer | Legal or registered info at the bottom of the PDF |
| Estimates Valid For | Number of days the estimate is valid (default: 30) |
| WhatsApp Template | Customise the WhatsApp message. Placeholders: %CLIENT_NAME%, %ESTIMATE_NUMBER% |
Filtering estimates
The Estimates tab shows filter chips at the top:
- All — every estimate
- Draft — not yet sent
- Sent — shared with the customer
- Accepted — customer accepted the quote
- Declined — customer declined
